Create a starter AI use policy
Four short steps: who you are, what staff may use AI for, what never goes into an AI tool, and who keeps the policy current. Download it as a Word document to edit.
Information, not legal advice. Rules last verified October 7, 2026. Laws change; confirm with the agency or a qualified professional before you rely on it.
What the starter policy covers
- Purpose and scope, including contractors and volunteers
- Which AI tools are approved, and how new tools get approved
- Permitted uses and prohibited inputs, such as personal, health and confidential information
- A rule that people, not AI, make decisions about people
- Human review, accuracy checks and transparency
- Security, privacy and records, training, ownership, review schedule and an acknowledgment line
Before you adopt it
This is a starter, not legal advice. Laws on AI in hiring, privacy, consumer protection and regulated industries vary by state and are changing quickly. Review the draft with legal counsel and HR, add your industry’s rules (for example, health privacy or student privacy rules), and name a real owner who will keep the approved tool list current.
Frequently asked questions
Is the generated policy legally compliant?
It is a starting point built from common good practice, not legal advice. AI laws differ by state and industry and change often, so have counsel and HR review the draft and add the rules that apply to your organization before you adopt it.
Can I edit the policy?
Yes. Download it as a Word document (.docx) and edit it in Word, Google Docs or any word processor. You can also print it or save it as a PDF.
Do you store my answers?
Your answers are saved only in this browser so you can come back and change them. The document is created in your browser; nothing is sent to us.
How should staff be trained on the policy?
Explain the policy when it launches, give examples of allowed and prohibited uses from your own work, and repeat the training when the policy changes. Our responsible AI courses can support that training with scenarios and a certificate of completion.
